Not every Access database needs to be replaced. Plenty run safely for years with the right maintenance. Go through this list honestly — most people underestimate how many of these already apply to them.
Version and Support Signs
- You're running Access 2016 or 2019 (already unsupported as of October 2025)
- You're running Access 2021 and haven't planned for its October 2026 end of support
- Nobody in your organization can say with confidence which version you're actually running
Performance and Reliability Signs
- The database has become noticeably slower over the past year
- You've experienced database corruption at least once in the last 12 months
- Forms or reports occasionally time out or freeze, especially with multiple users active
- Backups require everyone to log out first — and that's becoming harder to coordinate
People and Knowledge Signs
- One specific person is the only one who really understands how the database works
- That person's departure, retirement, or extended absence would be a genuine crisis
- The system has little or no documentation of its logic, relationships, or quirks
- New hires need significant hand-holding just to use the system safely
Growth and Scale Signs
- You need more than a handful of people working in the database simultaneously
- Team members work remotely or across multiple locations and need access outside the office network
- Your data volume has grown substantially since the system was first built
- You've built manual workarounds to connect Access to other tools (QuickBooks, a CRM, reporting software) because it doesn't integrate natively
